How Invoice Emails Work

Understanding what your clients receive helps you communicate more effectively.

Email Contents

  • Subject: "Invoice #[Number] from [Your Name]"
  • Sender: noreply@freelancetrackr.online (with your name displayed)
  • Body: Professional message with invoice details
  • Call-to-Action: "View Invoice" button linking to online version
  • Attachment: PDF copy of the invoice
  • Payment Info: Your payment details (if configured)

Note: Clients can reply directly to the email, and their reply will go to your email address, not to noreply@freelancetrackr.online.

Sending an Invoice

Follow these simple steps to send an invoice to your client.

Steps to Send:

  1. 1Complete your invoice with all details
  2. 2Click the "Send Invoice" button
  3. 3Verify the client's email address is correct
  4. 4Review the email preview (optional)
  5. 5Click "Send" to deliver the invoice

  • ✓ Invoice status changes to "Sent"
  • ✓ Email is delivered within seconds
  • ✓ You receive a confirmation notification
  • ✓ Invoice becomes trackable for views

Tracking Invoice Views

Know exactly when your client views the invoice. This helps you follow up at the right time.

View Tracking Features:

  • See when the invoice was first opened
  • Track if it's been viewed multiple times
  • Get notified when client views the invoice
  • Use view data to time your follow-ups

Understanding View Status:

"Sent": Email delivered, but not yet opened

"Viewed": Client clicked the link and opened the invoice

Multiple Views: Client has returned to review the invoice again

💡 Pro Tip

If an invoice shows "Viewed" but hasn't been paid yet, wait 2-3 days before sending a reminder. This gives the client time to process the payment without feeling rushed.

Automatic Payment Reminders

Set up automatic reminders to follow up on overdue invoices without manual work.

How Reminders Work:

Freelance Trackr automatically sends friendly payment reminders when invoices become overdue. You can customize the timing:

First Reminder: 3 days after due date

Second Reminder: 7 days after due date

Final Reminder: 14 days after due date

Reminder Tone: All reminders are sent with a professional, friendly tone. They're designed to prompt action without damaging client relationships.

Resending Invoices

Need to send the invoice again? Maybe the client didn't receive it or needs another copy.

When to Resend:

  • • Client claims they didn't receive the original
  • • Email went to spam folder
  • • Client needs to forward to accounting department
  • • You updated invoice details and need to resend

How to Resend:

  1. 1. Go to the invoice you want to resend
  2. 2. Click "Resend Invoice"
  3. 3. Confirm the recipient email
  4. 4. Click "Send"

💡 Note

Resending doesn't create a duplicate invoice. The same invoice number is sent again with an updated timestamp.
